🏢 1. Understanding INVAIST and its vision

What is Invaist and who is this agency for?⌄

Invaist is an agency specialising in intelligent business process automation for small and mid-sized businesses. Our mission: free your teams from repetitive, time-consuming tasks with AI, while keeping human control over important decisions (the HITL principle).

In practice, we work on your invoicing, recruitment, content production, customer relations and property management processes — without ever touching the tools you already use.

Why choose Invaist rather than a general-purpose SaaS tool or an IT services firm?⌄

A general-purpose SaaS imposes its way of working on your company. An IT services firm bills months of consulting before delivering any result. Invaist does the opposite : we adapt automation to your business reality and deploy a first operational pilot workflow in under 3 weeks.

Our added value rests on three pillars: speed of execution, native connection to your existing tools, and dedicated human support from the audit through to continuous optimisation.

What is the HITL principle and why is it central at Invaist?⌄

HITL (Human In The Loop) means that AI executes repetitive tasks with precision and speed, but humans keep control over all high-value decisions.

At Invaist, AI handles: data entry, document sorting, notifications, database synchronisation. Your teams focus on: strategic validation, customer relationships, exception handling and steering. This model guarantees reliability, compliance and collective intelligence.

Is intelligent automation really accessible to an SME with 10 to 50 employees?⌄

Yes, and that is precisely our main target. SMEs with 10 to 50 employees are often the hardest hit by repetitive manual tasks: they lack the resources to hire more and cannot afford a 6-month IT project.

Invaist offers them the same level of automation as large corporations, with modular solutions, express deployment and transparent pricing. The result: a first measurable gain in under a month, with no disruption to the business.

🛠️ 2. Our technology stack

What technologies are Invaist solutions built on?⌄

Invaist relies on a combination of three complementary pillars:

  • n8n — an open-source workflow orchestration engine that connects all your tools together (CRM, ERP, email, invoicing, HRIS…) and automates data flows
  • Custom-built specific modules — logic components designed by our teams to address use cases specific to each sector or business process
  • Specifically trained LLMs — language models fine-tuned on your business data, your vocabulary and your management rules, for an AI that truly understands your business

This architecture ensures reliable, maintainable and scalable automations, with no dependence on a single vendor.

What is n8n and why does Invaist use it?⌄

n8n is an open-source workflow orchestration engine that connects and automates flows between more than 400 applications without coding each integration from scratch. It is self-hostable, which means your data stays in your environment — no dependence on a third-party cloud.

At Invaist, n8n is the conductor: it receives a document from an inbox, triggers analysis by an LLM, injects the extracted data into your ERP, notifies the right colleague and archives the document. All in a few seconds, with no human intervention on standard cases.

What is a specifically trained LLM and how is it different from a general-purpose model?⌄

A general-purpose LLM (such as ChatGPT) has been trained on data from every field. It is useful for generic tasks, but can lack precision on specialised topics: accounting terminology, specific HR criteria, rent review rules, standard contracts in your sector…

A specifically trained LLM from Invaist is a model adjusted (fine-tuned) on your own documents, business rules and vocabulary. It understands what a “good candidate” is according to your criteria, recognises your supplier codes, interprets your lease formats — and generates answers consistent with your reality, not with generalities.

Why do you build specific modules rather than use standard solutions?⌄

Standard tools cover 80% of common use cases. But every company has its 20% of specifics: a particular invoice format, a validation rule specific to its sector, a multi-level approval workflow, an integration with a business tool that has no standard API…

The specific modules developed by Invaist fill exactly these gaps: they are built alongside n8n to handle complex business logic, non-standard data transformations and the cases no-code tools cannot handle. That is what allows us to deliver on the promise of a workflow that is 100% operational, not 80%.

What is the difference between your approach and a mainstream no-code tool (Zapier, Make…)?⌄

Zapier and Make are excellent tools for automating simple tasks between mainstream applications. Invaist goes much further:

  • Complexity handled — multi-step workflows, advanced conditional logic, document processing, AI interpretation of content
  • Built-in LLMs — understanding natural language and unstructured documents is not something Zapier does
  • Self-hosted & data sovereignty — your data does not pass through US servers
  • Custom modules — when native connectors are not enough, we build what is missing
  • Expert support — you are not left alone with an interface: a dedicated consultant designs, deploys and optimises with you

💼 Accounting automation — How does it automate bookkeeping?⌄

Accounting automation is an n8n workflow coupled with an LLM trained on your invoicing formats. It automatically captures data from your invoices (suppliers, customers, expense reports) — received by email, scanned or as PDFs — and injects it directly into your accounting software: Sage, Cegid, Pennylane, QuickBooks, SAP or any ERP with an API.

It checks for duplicates and VAT inconsistencies and flags anomalies before injection. Benchmark: an invoice is processed in 9.2 days on average, 3.1 days in the most automated accounting departments (Ardent Partners 2025).

👤 HR automation — How does it improve the recruitment process?⌄

HR automation is an HR automation workflow that connects your inbox (or your ATS) to an LLM trained on your recruitment criteria. For every CV received — whatever its format — the model extracts skills, experience, qualifications and languages and scores them according to your own selection criteria.

Your HR teams receive a shortlist of 10 to 15 qualified candidates with a summary sheet per candidate, directly in their tool. Benchmark: recruiters who use generative AI save around 20% of their working week (LinkedIn, Future of Recruiting 2025).

✍️ Social media — How does it automate content production?⌄

Starting from a brief approved by your team, Social media automatically generates posts tailored to each channel: LinkedIn, Instagram, YouTube, newsletter. It adapts tone, format and length to each platform and schedules posts at the best audience time slots.

It can also produce blog articles, product sheets or marketing emails from a simple briefing note.

💬 AI assistant — How does it connect to my business tools?⌄

The AI assistant connects natively to your CRM, ERP, invoicing software and schedule via ready-to-use API connectors. It can therefore answer precise questions in real time: “What is the status of the Smith order?”, “What stock is available for ref. 4821?”

Available 24/7, it handles recurring requests without tying up your teams, and automatically escalates complex cases to the right person. Benchmark: 51% of customers prefer a bot when they want an immediate answer (Zendesk 2026).

🏠 Real estate — Which rental obligations does it automate?⌄

Real estate takes care of the entire recurring administrative letting cycle: annual rent review based on the current IRL (French rent reference index), generation and sending of personalised notifications to tenants, regulatory compliance checks at every review, and automatic lease renewal alerts.

No more forgotten reviews, calculation errors or letters sent late. Real estate guarantees 100% regulatory compliance across your entire rental portfolio.

🔧 Your need — For which specific processes can it be designed?⌄

Your need is designed for companies whose business processes do not fit a standard framework. Concrete examples: automatic qualification of incoming leads, automation of a customer onboarding workflow, processing of technical documents specific to a sector (construction, healthcare, legal…), or orchestration of flows between several tools.

A working prototype is delivered in a few days. The logic adapts to your business rules and improves over time thanks to the HITL loop. The ROI is estimated with you before any commitment, during the free 30-minute audit.

🔧 4. How it works technically

How does an Invaist automation workflow actually work?⌄

An Invaist workflow runs in 4 automatically chained steps:

  • Trigger — an email arrives, a document is received, a form is submitted, a scheduled time is reached…
  • AI processing — the LLM analyses the content, extracts the relevant data, classifies the document or generates an answer according to the defined business rules
  • Action — injection into the ERP/CRM, sending a notification, updating a database, generating a document, calling a third-party API
  • HITL supervision — for ambiguous cases or those with a low confidence score, an alert is sent to a colleague for validation before execution

n8n orchestrates all these steps. Specific modules handle complex business logic. Trained LLMs ensure the interpretation is relevant.

How are LLMs trained on my business data?⌄

The training process takes place in three phases:

  • Collection & preparation — together we identify the documents representative of your business (typical invoices, processed CVs, leases, business emails…) and structure them into training datasets
  • Fine-tuning — the base model is adjusted (fine-tuned) on this data to learn your vocabulary, your formats, your classification rules and your decision criteria
  • Validation & iteration — results are tested on real cases with your team, and the model is corrected through the HITL loop until it reaches the required level of reliability

This process is confidential and isolated: your model is never shared or used to train other clients’ models.

How do you ensure the security and GDPR compliance of the data processed?⌄

Data sovereignty is at the heart of our architecture:

  • Self-hosted n8n — deployable on your own infrastructure or on a dedicated European server; your data never passes through third-party platforms
  • Locally hosted LLMs — models trained on your data stay within your perimeter, with no calls to external APIs for sensitive processing
  • AES-256 encryption in transit and at rest, full traceability of every operation
  • Configured retention — we adapt retention and anonymisation rules to your sector (accounting, HR, real estate…)

What happens if the workflow encounters an unexpected case or ambiguous data?⌄

That is the central role of the HITL (Human In The Loop). Every workflow is configured with confidence thresholds: when the LLM or the business logic is not certain enough of an interpretation, the system automatically pauses the action and sends an alert to the designated colleague.

That person validates, corrects or rejects the interpretation. Their correction is then fed back to the model for continuous improvement. The result: the system becomes more accurate with every iteration, and no high-stakes decision is ever taken without human review.

🚀 5. Deployment & support

How does a 3-week pilot deployment work in practice?⌄

  • Week 1 — Diagnosis & mapping: 30-minute audit of your processes, identification of the workflow with the highest ROI, costed action plan and roadmap.
  • Week 2 — Configuration & connection: workflow set-up, connection to your tools (CRM, ERP, email), tests on real data, technical validation.
  • Week 3 — Deployment & measurement: go-live, training for your teams, activation of the KPI dashboard, first gains measured from the first month.

At the end of the 3-week pilot, you have an operational automated workflow, your teams are trained, and you have concrete performance indicators.

Do we need an in-house IT team for the deployment?⌄

No, that is one of our key commitments. Invaist takes care of the entire technical side: set-up, API connections, testing and go-live. All you need is a business contact on your side to validate the workflows and management rules.

For companies without an IT department, we also handle the technical documentation and provide ongoing maintenance of the integrations.

What support is available after deployment?⌄

A dedicated expert remains your single point of contact after go-live. They provide: supervision of workflows in production, ongoing adjustments and optimisation, training for new staff, and proposals for changes or new workflows to automate as your company grows.

You are never left alone with the tool. Our model is designed for a long-term relationship, not delivery followed by disappearance.

💶 6. Pricing & terms

How is Invaist pricing structured?⌄

Our pricing is transparent, modular and designed for SMEs. No opaque packages, no hidden fees. It includes:

  • One-off deployment fee — audit, set-up, connections, training
  • Monthly subscription per automated workflow — maintenance, supervision, expert support
  • On-demand options — additional workflows, advanced integrations, enhanced SLA

We offer 3 levels: Starter (1 workflow), Business (3 workflows + KPI dashboard), Enterprise (unlimited workflows + SLA + advanced APIs). Every plan includes a dedicated expert.

Is the initial diagnosis charged? Is there a minimum commitment period?⌄

The 30-minute diagnosis is entirely free and with no commitment. At the end of this audit, you receive a costed action plan with an estimate of the expected ROI. You decide what happens next.

Contracts are based on your real needs, discussed during the audit. We do not impose any unreasonable minimum term. Our interest is for you to obtain measurable results quickly — that is the best guarantee of loyalty.

📊 7. Benefits & ROI

What concrete results can SMEs expect when they automate with Invaist?⌄

Results depend on the process automated: we estimate them with you before any commitment, during the free 30-minute audit. Some market benchmarks:

  • 9.2 days to process an invoice on average, 3.1 days in the most automated accounting departments (Ardent Partners, AP Metrics that Matter 2025)
  • 20 % of weekly working time saved by recruiters who use generative AI (LinkedIn, Future of Recruiting 2025)
  • 12 weeks on average to hire a manager in France (Apec 2025)
  • 51 % of customers prefer a bot when they want an immediate answer (Zendesk 2026)

When do you see the first measurable results?⌄

The first gains are visible and measurable from the first month after go-live. Together we define the before/after KPIs during the diagnosis, and provide you with a real-time tracking dashboard from week 3.

No 6-month wait, no annual report: you see the figures move within days. That is our contractual commitment.

Will automation eliminate jobs in my company?⌄

No — and that is not our philosophy. Invaist automates the repetitive, low-value tasks that occupy your teams without enriching their work: data entry, document sorting, sending notifications, database synchronisation…

The time freed up is reallocated to high-impact work: customer relationships, analysis, creativity, decision-making. Our clients consistently see their teams upskill and job satisfaction improve after automation. AI augments people; it does not replace them.
